Privacy Policy

Not attorney-reviewed. This policy is in effect and was written to accurately describe how TrackLock actually handles data today -- it has not been reviewed by an attorney and is not a substitute for legal advice.

TrackLock is operated by ARK Resource Group, LLC ("TrackLock," "we," "us"), based in Arizona.

1. What we collect

Account information you provide (email, display name, organization details). Content you upload to register or verify (audio files and their derived fingerprints/watermarks, track metadata like title/artist/ISRC). Usage data generated by using the Service (API call records, verification decisions, audit events, support tickets). We do not collect payment card details ourselves -- see our Terms of Service, Section 6, for the current state of billing.

2. How we use it

To operate the Service: matching uploaded audio against registered works, enforcing the AI-use policies you configure, computing catalog-health and royalty-opportunity signals, sending the notifications and webhook events you've subscribed to, and maintaining the audit trail your account relies on for dispute/claim history. We do not use your uploaded audio to train models for any purpose beyond providing the Service back to you, and we do not sell your data.

3. What we share

We don't sell or rent your personal information or your uploaded audio. Limited data is shared: with platforms/services you explicitly authorize (e.g. an AI platform you grant a license or permission code to), with service providers who help us run the Service under confidentiality obligations (e.g. our hosting infrastructure), and when required by law or to protect the rights, safety, or property of TrackLock or others. Public rights-check pages intentionally expose a limited, non-sensitive subset of a registered work's metadata (title, artist, verification level, AI-use status) -- never the underlying audio file.

4. Data retention

We retain your account and catalog data for as long as your account is active. Audit history (registrations, policy changes, verification decisions, license and dispute events) is retained longer than the underlying record it describes where needed to preserve a shared organization's history for other members. Formal, fully-specified retention schedules per data category are being finalized ahead of general availability.

5. Your choices and rights

You can review and update your account information from Settings, and delete your account entirely (see Terms of Service, Section 8) -- deletion removes your personal account data; some organization-shared records may be retained per Section 4 above. Depending on your location, you may have additional rights (access, correction, deletion, portability, objection) under applicable law; contact us to exercise them, and we'll fulfill valid requests within the timeframe the applicable law requires.

6. Security

Data is encrypted in transit via TLS. Encryption-at-rest for stored audio and metadata is planned as the platform moves toward production deployment -- see our Security & Trust page for the current, honestly-stated state of our security practices, including what's not yet in place.

7. International data transfers

TrackLock's infrastructure may process and store data in a different country than the one you're in. Where required, we rely on appropriate legal safeguards for cross-border transfer; the specific mechanisms used will be documented here before general availability.

8. Children's privacy

TrackLock is intended for business use by rights holders, labels, publishers, and platforms, and is not directed at children. We don't knowingly collect personal information from children.

9. Changes to this policy

We may update this Privacy Policy as the Service evolves. Material changes will be posted here with an updated date.
